Data Protection Notice Trasmore Limited trading as Dental Medical Ireland (DMI)

Here in DMI we are committed to maintaining the trust and confidence of our customers. During the course of our business dealings with you, we will collect personal information that is required to transact business with you. In this Notice, we wish to explain how we collect this information, how we use it, what protections we have put in place to safeguard it and how you can interact with us about it. Our overriding concern is to make sure that we protect whatever personal data you share with us and only use it for legitimate business purposes.

Collecting Personal Information

We collect personal information when you open an account with us, email us, telephone us, meet with one of our staff or communicate with us via our webshop (www.dmi.ie or www.dmi.co.uk), facebook page and/or other social media Apps. Our websites use “cookie” technology. A cookie is a piece of text that our server places on your device when you visit either of our websites. They help us make the site work better for you.

We use Google Analytics to monitor our website to collect standard internet log information and details of visitors’ behaviour patterns. We do this to determine the number of visitors to the various parts of our site and the popularity or otherwise of goods and services. This information is only processed in such a way which does not identify any individual.

We also use a service called MailChimp to email you offers of goods and/or services. We gather statistics about email opening and clicks using industry standard technologies to help us monitor and improve our offers. You can unsubscribe to these general mailings at any time by clicking on the unsubscribe link at the bottom of any of our emails or by emailing us at info@dmi.ie

Use of Personal Information

We gather information on you and the products and services you use or ask us about. We use this information as follows:

  • To manage the products and services that we currently supply to you. For example, where you have purchased equipment from us, we will maintain records to allow us fulfil our warranty obligations and to advise on service intervals etc.
  • For direct marketing purposes, where you have given us permission to do so.
  • For supply of summarised reporting data to our main suppliers. This summarised data will be aggregated and anonymised. We will never share data at an individual personal level or any information that personally identifies you as a customer.
  • For accounting purposes including credit control of your account.

Our Service Engineering staff may occasionally require access to your systems to diagnose problems and effect repairs to digital equipment and/or software. This may occur on site or online via a program called Teamviewer. The process may also require us to share this data with our suppliers and discuss your systems with them to effect repairs. Any personal information that is obtained for the purposes of conducting tests or repairs will be safeguarded and destroyed as soon as it is no longer required.

We sometimes use technology to help us make decisions automatically. For example, our system uses credit limits. If you place an order which goes over your credit limit, the order will be put automatically on hold.

We sometimes share your information with statutory and other regulatory bodies where necessary. For example, we are licenced by the Health Products Regulatory Authority and in the event of a product recall, are required to notify them of activity on your account.

    Protection of Personal Information

We take great care to protect your information. We use the latest security measures including firewalls, data encryption, password protection and anti-virus software to safeguard all data on our systems. For those customers that choose to pay us via credit or debit cards, we do not keep this information on file and so will request it each time you elect to pay us in this manner.

To meet our legal and regulatory obligations, we hold your information while you are a customer and for a period of time after that. We do not hold it for longer than necessary.

We also use cloud technology to securely back-up our systems including your personal information. We have service level agreements in place with the suppliers of these services to ensure this data is protected. This data is held both within and outside the EU.

Interacting with us about your information

By using our products and services, or asking about them directly online, you are consenting to us collecting and using your information in the ways we explain in this notice and any future versions of it. If at any time you would like to be removed from our market research database, please email us at info@dmi.ie

We try to make sure that the information we have about you is accurate and up to date. If you believe we have information which is inaccurate or not current, please contact us and we will update it. Under the data protections acts, you have the right to see the personal information we hold about you. We will provide the information within four weeks of your request.
